Facilities and Operations Manager

 

A prestigious and historical organization in Los Angeles is currently seeking a Facilities and Operations Manager to lead and inspire a large and dedicated team of employees. This role is a member of the company’s management team and must be able to work collaboratively across the team, in addition to working well with all other employees within the organization. This position is also responsible for department staffing, developing department work schedules, completing performance reviews in a timely manner and addressing and managing performance issues. In addition, this role must have experience developing and managing budgets, as well as managing vendor relationships. A strong focus on providing exceptional customer service both internally and externally is critical. Must also be comfortable working in a highly fluid work environment with constantly changing priorities.

 

Responsibilities include but are not limited to:

  • With a commitment to safety, lead and manage staff and external vendors in the management, improvement and beautification of the facility while maintaining a highly functional team. Advocate and provide vision for the quality stewardship of all aspects of the landscape. Develop project scopes, plan and manage budgets and identifies solutions to problems, working as part of a team or independently. Maintain the grounds in a safe and highly aesthetic state at all times.
  • Anticipate needs of the facility and the customers; assist in creating a superior environment consistent with our aspiration group and be continually aware of how our actions impact the ability of the organization to succeed. Provide high quality services, consistent with the core values of the organization.
  • Assist in the development of landscape enhancements project scopes, design and construction documents, provide project estimates, attend job meetings and inspect facility on a regular basis to ensure quality and organizational standards are met. Complete projects on time and within budget to the highest possible standards.
  • Establish effective material, work and aesthetic standards; communicate and hold others accountable to the standards; provide training, directions and support required to maintain and enhance staff skills and productivity.

Requirements

  • Ten years of job-related experience in a large, institutional, public or commercial site (such as an educational institution, major arboretum, regional park and cemetery, etc.), in a landscape construction and maintenance business, or other directly-related experience.
  • A minimum of five years of supervisory experience managing staff and grounds crew, or similar leadership experience is required.
  • Bachelor or Associate’s degree in landscape management, horticulture, agronomy, natural resources, or related field preferred. Or, an equivalent combination of college education and landscape/grounds experience.
  • Must be people-oriented; operate effectively under tight time constraints; be highly self-motivated; lead by example; reliably exercise sound judgment; provide excellent customer service and be highly detail-oriented; have strong oral, written, and interpersonal skills; be capable of routine use of standard business computer software programs; and work well with a large, diverse team of professionals.
  • Exceptional knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition and grammar.
  • Bilingual Spanish is required.
  • Strong accuracy and attention to detail while also being highly organized with the ability to plan ahead so as to maximize efficiency based on available resources. Excellent time management skills with the ability to manage multiple tasks and projects simultaneously.
  • Strong problem-solving skills with the ability to gather data and information and use analytical methods to analyze data for trends to determine and evaluate alternatives and to provide final recommendations.
  • Must possess a valid driver’s license and have a clean DMV record.
  • Positive and professional attitude and demeanor.

 

This position must be able to work Sundays as needed. This position must also be able to work outdoors in hot, cold, dirty and wet conditions.

 

Community Liaison

The Community Liaison is responsible for maintaining contact and relationships with existing Hillside organizations while creating and nurturing new relationships and following leads from existing partnerships, participating in organizations and clubs and attending community events.

The Community Liaison will answer questions about options, services and programs in addition to providing information based on interests and traditions. Additional responsibilities may include but are not limited to preparing and delivering presentations to new and existing organizations to increase awareness of Hillside Memorial Park and Mortuary. The Community Liaison will work closely with the Marketing and Community Outreach Manager in preparing, organizing and working Hillside education programs and events in addition to community events offsite.

Family Service Concierge

We are currently seeking a Family Service Concierge to join our Hillside team and share in our passion to serve our community in beauty and tranquility. This position is responsible for greeting visitors, directing traffic, setting up services, quality control, and providing outstanding customer service while maintaining the confidentiality of Hillside and the families that Hillside serves. This role will also be involved in COVID screening protocols. Additional responsibilities include but are not limited to the following:

• Interacts professionally and proactively with families, visitors, and Hillside departments including maintaining a professional appearance at all times
• Provides flyers regarding Hillside special events to visitors as they enter the park
• Greet visitors immediately upon their arrival and provide them with exceptional customer service
• Provides quality control and ensures that services are setup in a manner that is in accordance with the wishes of the families that Hillside serves
• Works closely with Funeral Directors, Service Directors, and external resources such as rabbis, and florists to ensure services run smoothly
• Provides additional support to Funeral Directors and Service Directors during services
• Assists visitors in finding locations. Provides occasional and private impromptu tours of the park
• Directs and maintains organized parking for all incoming vehicles including parking for funerals, visitors, customer inquiries, vendors, celebrity funerals, and the press/media. Also manages parking for special Hillside events
• Ensures the Information Booth is kept in a neat and organized manner
• Monitors the security monitors and alerts management of all potential security issues
• Protects the privacy of guest lists for celebrity and private services

This is a full-time position that requires regular attendance. The hours for this position are 6:30 – 3:00 or 8:30-5:00. This position is off on Saturdays and one other day during the week that is mutually agreed upon by the manager and employee. Sundays are required. Due to the essential functions of this position, it cannot be performed at home or remotely.

Funeral Director

Hillside Memorial Park and Mortuary is currently seeking a Funeral Director to join their team in Los Angeles, California. The Funeral Director conducts multiple funeral and memorial services from setup to completion. This includes setting up flowers, chapels, programs, music  selections, caskets and waiting on family members, all to make services meaningful while providing a positive customer service experience. The Funeral Director also handles financial payments for balances due in addition to working closely with mortuary secretaries, chapel attendants, assistant funeral directors and counselors. A high level of customer service interaction is necessary with families, guests and rabbis. Additional responsibilities include but are not limited to keeping the mortuary stocked with materials as well as light housekeeping which includes, vacuuming, emptying trash cans, dusting and other tasks required to maintain a neat and orderly facility. A funeral director’s license or the ability to obtain a funeral director’s license is required.

Field Crew Associate

Hillside Memorial Park and Mortuary is currently seeking a highly motivated Field Crew Associate to join our team in Los Angeles, California.

Responsibilities include but are not limited to:

  • Set-up and closing of graves and wall crypt sites.
  • Assist visitors in the park with trimming and cleaning of burial site markers.
  • Install markers on ground and walls and marker rubbings.
  • Assist rabbis and funeral directors at services.
  • Additional responsibilities include washing down sidewalks and wall crypts, sweeping and mopping floors, cleaning of flower stations, cobweb removal, cleaning sarcophagus, and picking up debris from various areas of the park.
  • Other duties may include but are not limited to picking up parts and materials as needed from outside vendors and stores and interacting with families and guests to Hillside.

Qualifications:

  • Backhoe and tractor operation experience preferred but not required
  • Experience with hand-held power tools and light equipment and two-way radios preferred
  • A minimum of one year relevant experience preferred
  • Must possess a valid driver’s license and have a clean DMV record
  • Strong ability to exercise sound judgment
  • Ability to work independently as well as part of a team

This position must be able to work Sundays with a rotating schedule and be able to work outside in all types of weather.

Advance Planning Assistant

Hillside Memorial Park and Mortuary is currently seeking an office assistant to provide administrative support to the Advance Planning department.  The Advance Planning department works with individuals and families who want to make end of life arrangements in advance in addition to working with families at time of need.  This department is passionate about the service they provide to our Hillside families and is looking for someone who is equally passionate about providing administrative support to the team.  Responsibilities for this superstar include but are not limited to the following:

  • Monitor and facilitate the flower order process from the Hillside website.
  • Prepare meeting minutes.
  • Maintain office supplies and ensure arrangement offices are fully stocked with the necessary forms and office supplies.
  • Prepare and generate survey letters.
  • Batching interment orders, marker invoices and contracts.
  • Update map books for the park.
  • Maintain the client mailing list by adding and deleting clients when required.
  • Process check requests and letters related to referrals in Hillside’s Pre-Need Partnership Program.
  • Schedule unveilings.
  • Coordinate department anniversary and birthday celebrations.
  • Provide first-line technical support to the department
  • General office duties such as mailings, photocopying and phones.
  • Other duties as assigned.

The ideal candidate will have a magnificent level of attention to detail, strong computer skills with Outlook, Word, and Excel, be reliable and dependable and have a friendly style that others will want to work with.  It is important that this person live Hillside’s core values of collaboration, diversity, kindness, integrity, quality, and respect.

This is a part-time position working Monday through Friday four hours each day.  The hours for this role are 8:00 a.m. to 12:00 p.m. with some flexibility possible based on business needs.  Due to the essential functions of this position, it cannot be performed remotely.
